Resource Management Automation
Following modern trends in technological development and improvement, Janus Worldwide is proud to announce the integration of its Resource Management Automation toolkit. This implementation has quite literally brought its resource management workflows to the next level.
This RM Automation toolkit is designed to manage the database of external resources. The various functionalities of the automation toolkit allow resource managers to access and provide project managers with any type of information pertaining to resources with just a few of clicks. The tools described below bring full transparency to all key resource management workflows, expediting and enhancing the process of selecting and analyzing external resources. Furthermore, the interconnections of select tools seamlessly facilitate all resource management processes, reducing the time spent on each task. Collectively, these tools create an integrated working environment where resource managers can see the history of completed tasks, gather and analyze the current situation, and even predict future resource needs and conduct risk management.
Composition of functionality
RM Automation includes four interconnected objects:
– Vendors – Find/Check Availability
– Resource Request
– Recruitment Request
– Request for Information
Each object refers to a separate workflow and has its own unique advantages.
Vendors – Find/Check Availability
This report shows a list of vendors based on specific selection criteria, along with their availability on designated dates.
Vendors – Find/Check Availability is a tool that utilizes a database of external vendors.
Advantages of the tool:
1. Boasts a diverse array of settings and filters to sort the list of vendors
2. Provides visual representation of the selected vendor’s availability
3. Offers multiple methods for accessing relevant vendor data and experience records
4. Reduces the time it takes a resource manager to provide production with detailed information about external suppliers
Resource Request
A Resource Request is a process document that helps resource managers select suitable vendors from the existing database. Each Resource Request is created by the project manager for subsequent processing by the resource manager.
Advantages of the tool:
1. Allows to choose the most suitable supplier for each project
2. Streamlines the vendor selection process
3. Ensures transparency throughout the entire process, enabling the project manager to view the list of vendors selected for a particular project, their responses to the project offer, and other relevant details.
Recruitment Request
A Recruitment Request is issued to resource managers to initiate the recruitment of new talent. This request is created when there is a shortage of existing resources or when a company is expanding into new areas of business, such as acquiring new clients, new language pairs, etc.
Advantages of the tool:
1. Allows to monitor resource managers’ workload
2. Ensures transparency in the recruitment process (results are visible to project managers)
3. Provides the ability to view recruitment history
Request for Information
A Request for Information (RFI) document serves as a tool for managing various requests from production departments. It is specifically designed to handle requests not related to resource selection or recruitment. The RFI request cycle follows the same process as Resource Requests and Recruitment Requests. The project manager creates the request, assigns it to the resource manager, and the resource manager closes it upon completion of the work.
Advantages of the tool:
1. Ensures information security (the tool does not extract vendors’ personal data from the ERP system, ensuring its protection)
2. Fosters transparency in all interactions between production and resource management
3. Provides the ability to track RFI history and re-use the collected data
4. Allows to monitor resource managers’ workload
